Data Deletion Instructions

Clara Counseling & Psychological Services respects privacy and handles deletion requests carefully. This page explains how to request deletion of personal information connected to Clara's website, website assistant or chat interactions, contact workflows, event interest or waitlist workflows, server logs, and official social-platform integrations such as Meta or Instagram.

How to request deletion

To request deletion, email Clara's Privacy Officer at privacy@claracaps.com with the subject line Data deletion request. Include enough information for Clara to identify the relevant interaction, such as:

• your name;
• the email address or phone number you used with Clara;
• the service or platform involved, if known, such as ClaraWeb, Meta, Instagram, or Facebook;
• a short description of the information you want deleted.

Meta / Instagram integration data

If you reached this page from a Meta, Facebook, or Instagram app listing, Clara's app is used to manage Clara-owned publishing and business assets. Clara does not sell personal data. If any personal information is associated with your interaction and can be deleted under applicable law, Clara will process the request after verifying the request and the relevant records.

Website assistant, forms, logs, and backups

Deletion requests may involve website assistant or chat interactions, contact, event interest, or waitlist records, social-platform interactions, analytics identifiers, server logs, or backup exports. Clara will review what can be deleted from active systems and what may remain temporarily or permanently because of backup exports, security/audit logs, healthcare records, legal obligations, abuse-prevention needs, or other retention requirements.

Typical deletion timing and retention limits

After Clara verifies a deletion request, Clara usually deletes or de-identifies most active website-contact, event-interest, and waitlist records within 30 days when no healthcare, billing, legal, security, backup, or audit requirement applies.

• Contact and inquiry submissions that do not become retained operational or care records are typically removed from active website systems within 30–90 days.
• Event interest and waitlist records may remain in active systems for up to 2 years for continuity, duplicate prevention, audit, and operations.
• Inquiry correspondence and operational notes can remain for up to 7 years when they document access, scheduling, records, billing, legal, risk, or clinical-adjacent operations.
• Security, abuse-prevention, and rate-limit logs are usually kept for up to 30 days unless a longer security, abuse, legal, audit, or troubleshooting hold applies.
• Analytics identifiers may be retained for up to 14 months under Clara's minimized Google Analytics 4 posture and Google's processing settings.
• Backup exports may age out on the normal backup cycle rather than being edited individually; monthly archives are kept for about 12 months, and annual archives can remain for up to 7 years.

Health records and legal retention

Some information may be subject to healthcare, legal, billing, security, or audit retention requirements. When Clara cannot fully delete a record, Clara will explain what can be deleted, what must be retained, and any available privacy, access, correction, or complaint rights that apply.
